Electoral Training Institute — Inventory Management

A government training institute holds equipment that is repeatedly issued to training programmes and returned — projectors, computers, furniture, training materials — alongside consumable stock. Every movement has to be accounted for, and at audit the institute must be able to show who authorised what and when.

Paper registers made this technically possible and practically painful. Reconstructing the history of a single asset meant working backwards through ledgers, and preparing the annual return took weeks.

We built an asset and inventory system where every item carries its own record from procurement through issue, return, condition change and eventual disposal, with each transition logged against the user who performed it.

Approvals follow the institute's actual office hierarchy, including delegation when an officer is absent — modelled on how authority genuinely works there rather than a generic two-step flow.

The audit log is immutable: entries can be corrected by a subsequent entry but never silently overwritten, so the record presented at audit is the record as it happened.

Statutory and MIS reports are generated from the ledger rather than compiled by hand.

Asset history is now retrievable in seconds instead of reconstructed from registers, and the annual return is generated rather than assembled.

Every authorisation carries a name and a timestamp, which is precisely what the audit process asks for.
